Substack is one of the world's leading independent publishing platforms, giving writers and journalists a way to build and monetise newsletters directly with their readers. Its Summer Fête brings together writers, editors and the wider Substack community to celebrate the platform's growth.
Mooies was commissioned by Substack's UK Communications Lead to coordinate the collection and transportation of 15 cakes from independent bakers across London, for delivery to the Substack Summer Fête at Lincoln's Inn. Unlike a traditional single collection and delivery, this required careful coordination of multiple suppliers, collection windows, product specifications and a single hard venue deadline. The objective was simple: ensure every cake arrived safely, professionally, and in time for service at one of London's most prestigious legal and event venues.
The Challenge
Managing Multiple Suppliers, Locations & Timelines
The commission involved collections from six independent bakers spread across South East, South West, East and North London, before final delivery to Lincoln's Inn in Central London. Each baker had their own collection window, packaging, and handling requirements — from temperature-sensitive buttercream that needed careful transport in the heat, to fruit toppings supplied separately so they could be added just before serving, to delicate cakes that needed to travel without being disturbed. As with many hospitality commissions, timing was critical: the event was scheduled to begin at 6:30pm, meaning all products needed to be delivered, checked and ready before guests arrived.

Time-Sensitive Event Logistics Across London
Every baker had different requirements — some cakes needed to stay cool, others couldn't be chilled at all without affecting the icing; some toppings had to travel separately and be added on-site; every box size and shape was different. Coordinating six pickups with six different sets of instructions, on one route, against a single hard deadline, is where this job went well beyond a standard delivery. Throughout the day, communication was maintained with both bakers and event organisers to keep collection times and venue requirements on schedule.
Delivery Execution
Delivering Ahead of Schedule
The first ten cakes were delivered by approximately 2pm, significantly ahead of the venue's operational deadlines. The final collections were completed later in the afternoon and delivered at approximately 5:30pm. Heavy London traffic affected the later collections, but event organisers were kept informed throughout, and all deliveries arrived comfortably before the event began at 6:30pm — giving venue staff time to organise, position and prepare products before guests arrived.

Lincoln's Inn is one of the four historic Inns of Court in London, with a history stretching back centuries, and remains one of the most prestigious legal institutions in the country. Its historic halls and gardens are also used for private, corporate and hospitality events, making it one of London's most distinguished venues for an occasion like this.
Located in central London, Lincoln's Inn regularly hosts private events, corporate functions and hospitality gatherings. Delivering multiple cakes into a live venue environment requires more than transportation alone — access requirements, venue coordination and timing all play an important role in ensuring products arrive in perfect condition and are ready for service.
